Organisations, Teams and Access Roles
How to manage your organisation, teams, and control who can access your boards.
Organisations
An organisation is the top-level container for your boards, members, and teams. All boards belong to an organisation, and every user is always working within one.
Your first organisation
When you create your account, a personal organisation is set up for you automatically (e.g. "Alice's Organisation"). You can rename it at any time from the organisation settings page.
Switching organisations
If you belong to more than one organisation, use the organisation switcher in the sidebar header to switch between them. The switcher shows the name and initials of your active organisation. Clicking it reveals a dropdown with all your organisations.
Organisation settings
From Settings > Organisation you can:
- Rename the organisation or change its slug
- View when it was created
- Delete the organisation (owner only, and only if you belong to at least one other organisation)
Members and Roles
Every person in your organisation is a member with one of three roles:
| Role | What they can do |
|---|---|
| Owner | Full control. Manage members, teams, settings, billing, and delete the organisation. Automatically has full access to all boards. |
| Admin | Same as owner except they cannot delete the organisation or manage billing. Automatically has full access to all boards. |
| Member | Standard access. Can only access boards they have been explicitly granted access to (via a direct grant, a team grant, or an organisation-wide grant). |
Inviting members
Owners and admins can invite new people from Settings > Members:
- Enter the email address of the person you want to invite
- Choose a role (member, admin, or owner)
- Click Send invitation
The invitee receives an email with a link to accept the invitation. They can also see pending invitations inside the app if they already have an account.
Managing members
From the members page, owners and admins can:
- Change a member's role
- Remove a member from the organisation
- View and cancel sent invitations that have not yet been accepted
Teams
Teams are named groups within your organisation. They let you share boards with a group of people at once instead of adding members one by one.
Creating a team
From Settings > Teams, owners and admins can create a new team by entering a name and clicking Create.
Managing team members
Click on a team to expand it and see its members. From the expanded view you can:
- Add a member: select from the dropdown of organisation members who are not yet in the team
- Remove a member: click the remove button next to their name
Renaming and deleting teams
Owners and admins can rename a team by clicking Rename in the expanded team view, or delete it with the Delete team button.
Board Sharing and Permissions
By default, only the person who creates a board has access. To let others view or edit a board, you share it by granting access.
How to share a board
- Open the board
- Click the Share button in the header (visible if you have sharing permission)
- In the share dialog:
- Choose who to share with: a specific Member, a Team, or the entire Organisation
- Select from the dropdown
- Choose a permission level
- Click Grant
Permission levels
Permissions are cumulative - each level includes everything below it:
| Permission | What it allows |
|---|---|
| Read | View the board and its tasks. Cannot make any changes. |
| Edit | Everything in Read, plus create, modify, and delete tasks and lanes. |
| Share (team) | Everything in Edit, plus grant access to team members. |
| Share (org) | Everything in Share (team), plus grant access to any organisation member or team. |
How permissions are resolved
When you access a board, the system checks multiple sources and gives you the highest permission found:
- Organisation role: Owners and admins automatically get full access (Share org) to all boards in their organisation
- Direct grant: A grant given specifically to you
- Team grants: A grant given to any team you belong to
- Organisation grant: A grant given to the entire organisation
Read-only access
If your highest permission on a board is Read:
- You will see a "Read-only" badge in the board header
- You can view all tasks and lanes but cannot create, edit, move, or delete anything
- The task editor will be in view-only mode
- This is enforced both in the interface and on the server
Removing access
From the share dialog, anyone with sharing permission can remove existing grants by clicking the remove button next to each entry.
